Unique ID-Based Candidate Registration

To support privacy-focused clients, TestInvite offers a unique candidate registration mechanism based entirely on anonymous identifiers. Instead of uploading names or email addresses, customers can register candidates using Unique IDs (UIDs).

Each UID acts as a stand-in for the test-taker's identity and can be managed entirely on the organization's side. These UIDs can be:

  • Randomly generated codes
    • Internal employee or student numbers
      • Any other identifier that doesn’t carry personally identifiable information (PII)

        Because TestInvite does not require or store personal details linked to these UIDs, organizations remain fully compliant with local data protection laws such as GDPR, HIPAA, or similar regional mandates.

        How It Works

        1. Generate Unique IDs Internally: The organization generates a UID for each candidate and keeps a private mapping between these UIDs and the actual individuals.

        2. Register Candidates in TestInvite: Using either the web interface or the API, candidates are registered in the TestInvite system solely via their UIDs. No names, emails, or other PII is transferred.

        3. Distribute Invitations: TestInvite provides invitation codes or direct access links associated with each UID. The organization then shares these with the candidates securely.

        4. Assessment Delivery: Candidates access their tests using their UID or invitation code. From TestInvite’s perspective, the candidate is simply an anonymous participant.

        5. Results & Analytics: Assessment results are linked to UIDs. Organizations can download and match results with real identities internally without any data leakage.

        Webcam & Screen Recording: Privacy Considerations

        When webcam or screen recording is enabled during exam delivery for proctoring purposes, these recordings may contain personally identifiable visual data. To further support privacy-conscious organizations, TestInvite offers a setting to automatically delete such recordings after a predefined retention period.

        This retention window is designed to allow sufficient time for integrity checks and anti-cheating verifications, after which the recordings are securely and permanently removed from our servers. This ensures that sensitive media is not stored longer than necessary and aligns with privacy best practices.
